The Challenge
QuickMart was running five separate systems across its 18 retail locations — a legacy POS, a standalone inventory tool, a procurement spreadsheet, a manual accounts process, and a separate HR system. None of them talked to each other. Stock counts were manual and inaccurate, procurement was reactive rather than data-driven, and month-end close took two weeks because the finance team was reconciling data from five different sources.
Our Approach
We implemented Odoo ERP as a unified platform covering POS, inventory management, procurement, and accounting — configured specifically for Ghana's VAT requirements and integrated with QuickMart's barcode scanning infrastructure. The rollout was phased across 18 locations over four months: a pilot at three high-volume locations in month one established the configuration baseline, followed by a regional rollout. Staff training was delivered in Twi and English by a team embedded at each location during their first week on the new system.
The Results
All 18 locations went live within the four-month timeline. Inventory accuracy improved by 40% in the first quarter post-go-live. Procurement shifted from reactive emergency purchasing to weekly automated reorder suggestions based on actual sales velocity. Month-end close dropped from two weeks to three days. The operations director now has a single dashboard showing real-time stock levels, sales performance, and procurement status across all 18 locations.
